This policy explains how Banstead Chiro Studio, operated by A&A Wellness Ltd (company number 17373768, registered office Flat 8, Burleigh House, SM3 9HT), collects, uses, and protects your personal data, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

A&A Wellness Ltd, trading as Banstead Chiro Studio, of Castle House, Park Road, Banstead, SM7 3BT, is the “data controller” responsible for your personal data. 2. What Information We Collect

Depending on your relationship with us, we may collect:

– Contact and account details : name, address, email, phone number, date of birth.
– Health information : case history, examination findings, diagnosis, treatment notes, x-rays or imaging reports, and other clinical records, collected during consultations.
– Booking and payment information : appointment history, and payment details processed via our payment provider (we do not store full card details ourselves).

3. How We Use Your Information and Our Legal Basis

We use your information to: assess and provide chiropractic care safely; maintain clinical records as required by the General Chiropractic Council; manage bookings, reminders, and billing; and respond to enquiries and complaints.

Our legal bases are: performance of a contract (providing treatment you have requested); legal obligation (professional record-keeping requirements); and, for health data specifically, your explicit consent given at the start of care, and/or the provision of health or social care under UK GDPR Article 9(2)(h). Where we send marketing communications (e.g. newsletters), we rely on your consent, which you may withdraw at any time.

4. Who We Share Your Information With

We do not sell your personal data. We may share limited information with: Practicehub, which is our practice management system; our payment processor; your GP or another treating or referring healthcare professional, where you have consented to this or where it is necessary for your care; professional indemnity insurers, if a claim arises; and regulators or authorities where we are legally required to do so. We do not transfer your personal data outside the UK or European Economic Area. Any third party processing data on our behalf is bound by a data processing agreement requiring them to protect your information to at least the same standard we do.

5. How We Store and Protect Your Information

Electronic clinical and booking records are held on password-protected systems with encrypted storage and secure backups; any paper records are kept in locked cabinets at our clinic. Access to your records is restricted to practitioners and administrative staff directly involved in your care.

6. How Long We Keep Your Information

We retain clinical records for a minimum of 8 years from the date of your last treatment with us (or, if you were under 18 when treatment ended, until your 25th birthday), in line with GCC record-keeping guidance and our insurers’ requirements. Booking and billing records are kept for 6 years to meet HMRC requirements. We will delete or anonymise data once it is no longer needed, unless we are required to keep it longer by law.

7. Your Rights

Under UK GDPR, you have the right to: access the personal data we hold about you; ask us to correct inaccurate data; ask us to erase or restrict your data in certain circumstances; object to certain processing (e.g. marketing); and request that we transfer your data to another provider. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at www.ico.org.uk.
